About this notice
This notice is for people who use a staff app Apex Insights ("Apex", "we", "us") runs for their employer, such as staff.nisigreekgrill.com. It adds to Apex's Privacy Policy.
Who is responsible
Your employer decides what information about its staff is kept and why. Apex runs the staff app for your employer and handles that information only to run the app, under its agreement with your employer. Apex is itself responsible for your sign-in and for the record of your agreeing to the Staff App Terms of Use.
What the app holds about you
From your employer's systems
- your name and position, and the email address and phone number your employer has on file;
- your schedule and time off, from your employer's scheduling system;
- your clock-in and clock-out times, and the checks, sales and tips recorded under your name, from your employer's point-of-sale system.
From you
- details you add or change on your profile: your name, email, phone, and an emergency contact and their phone;
- your notification choices.
When you use the app
- your sign-in: the email address or phone number you sign in with, and when you signed in;
- your agreement to the Staff App Terms of Use: the version, the date and time, the workplace, and the type of device and browser;
- if you turn on notifications, a token for your device so they can be delivered;
- standard server records: the page requested, the time, and your device's IP address, kept to run and secure the service.
The app does not use analytics or advertising trackers, does not track your location, does not use your camera or microphone, and does not collect fingerprints, face scans or any other biometric information.
Who can see it
- You see your own information.
- Your managers, and the people your employer gives access in Apex, see the information about their staff, including the date you agreed to the Staff App Terms of Use.
- Coworkers in your department see the team schedule: names, positions, shift times and shift notes. They do not see your hours, sales, tips or contact details.
- Apex staff who run the service, when they need to.
Who we share it with
Apex does not sell your information and does not use it for advertising. It is shared only with the providers that run the app, each bound to use it only for that:
- Google Cloud and Firebase: hosting, the database, sign-in (including the text with your sign-in code) and notifications, in the United States;
- SendGrid: email, such as your invite or a password reset;
- your employer's point-of-sale and scheduling providers, which the app reads from at your employer's direction.
We may also disclose information when the law requires it.
How long it is kept
Your information is kept while your employer uses Apex. When you leave, your employer turns off your access and decides what happens to its records about you; records the law requires your employer to keep, such as hours and pay, stay with them. When your employer stops using Apex, its records are returned or deleted as its agreement says. You can ask Apex to delete your sign-in at any time.
Security
Information is stored with Google Cloud in the United States and is encrypted when sent and when stored. Access is limited to the people who need it, and Apex keeps a record of changes. If we learn of a breach involving your information, we tell your employer promptly and tell you where the law requires.
Your choices
- Change your details on your profile page.
- Turn notifications on or off on your profile page or in your phone's settings.
- Ask to see, correct or delete your information: ask your manager, or email solutions@getapexinsights.com. Information that belongs to your employer is handled with your employer, and records the law requires are kept.
Your phone number and texts
Your phone number is used to send your sign-in code and, only if you agree to it, texts from your workplace. Your mobile number and your agreement to receive texts are never shared with anyone for their marketing.
Age
The staff app is for people 16 and older. Apex does not knowingly collect information from anyone under 16. If you believe someone under 16 has used the app, email solutions@getapexinsights.com and we will delete their information.
Changes to this notice
When this notice changes, the date at the top changes. A change that affects how your information is used is announced in the app.
